When working with clients, we don’t just focus on the big event details. As event architects, we delve into gaining a 360-degree perspective down to the smallest requests.

We work to understand client event goals, brand, preferences, and dealbreakers. Whether they have a specific location in mind, a particular region they prefer, or a unique experience they want to include, we take all of these insights and use them as the cornerstone of our planning.

Through our initial discussions, we gain a deep understanding of the event’s format and space requirements as every event presents unique needs. For example, “bleisure” events intended for attendees to extend their stays and bring their families require the prioritization of not only sourcing venues with nearby attractions and activities suitable for all ages, but also taking into consideration on-site potential to create dedicated spaces and tracks focused on providing further engagement with the organization’s brand – such as hosting an exclusive snack shack by the pool that is covered by the existing food and beverage minimum.

We consider everything about the attendee experience from the start of our search, including travel time to and from the destination, offering options such as event-specific Lyft codes or coordinating spacious shuttles to ensure attendees experience as little waiting time as possible to focus on enjoying the event itself.

In addition, a truly successful event extends beyond the walls of the venue. By offering attendees opportunities to immerse themselves in the local market, it creates a stronger connection with the event as a whole. Organizing group excursions to allow attendees time outside of the event space or compiling a concierge-style list of hidden attractions, recommended restaurants, and additional information about the local culture to encourage exploration at leisure provide additional appeal to the event agenda.

While we assist clients at any event planning phase, we like to get in on the ground floor to build and tailor events from the initial conception. We may source venues up to five years out in major markets to capitalize on availability and negotiation opportunities of contract concessions to best utilize event budgets in an inflated economy. With extensive experience in numerous markets, we often leverage our global network of trusted partners to negotiate what could be non-negotiable without an existing relationship.

We’re here to ask the right questions, including requesting specialized concessions to offer the highest impact to each client’s event. To those with a priority on attendee gifting and immersive experiences, waived room drop fees and the approval to bring in local vendors to create a one-of-a-kind cultural market add a unique value to your event that attendees couldn’t create themselves. For others with an extensive list of sessions, discounts on AV equipment or WiFi packages may return the best investment.
